The contact form may collect your name, professional email, company, telephone number, sector, message and any information you choose to provide.
Technical data strictly needed for operation and security may also be processed, including IP address, logs, browser type and error information.
3. Purposes and legal bases
- Responding to enquiries and preparing a business relationship: pre-contractual steps and legitimate interests.
- Delivering services and managing contracts, subscriptions, payments and support: performance of a contract.
- Complying with accounting, tax and legal duties: legal obligation.
- Maintaining security and reliability: legitimate interests.
- Relevant B2B communications: legitimate interests, with the right to object at any time.
4. Recipients and providers
Data is available to authorised EPOKA AI personnel and necessary service providers, notably Vercel for website hosting and Google Workspace for communication delivery and storage.
If you book through a Calendly link, you leave epoka.ai and Calendly processes the submitted data under its own privacy policy. Data is never sold or rented.
5. International transfers
Some providers may process data outside the EEA. Transfers are safeguarded under GDPR mechanisms such as an applicable adequacy decision or the European Commission’s Standard Contractual Clauses.
6. Retention
- One-off enquiry with no commercial follow-up: 12 months after the last exchange.
- Prospect data used commercially: 3 years after the last active contact.
- Customer relationship data: for the contract term, then up to 5 years for evidence.
- Invoices and accounting documents: 10 years.
- Security logs: only for the period needed to diagnose and protect the service.
